Lumos Works AI, Inc. ("Lumos Works AI," "SnowBear," "we," "our," or "us") operates the SnowBear AI assistant platform accessible at snowbear.ai. This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our services.

By using SnowBear, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect the following categories of information:

• Account information: name, email address, company name, and job title provided during onboarding.
• Phone number: collected if you opt in to SMS notifications.
• Conversation content: messages you send to the SnowBear AI assistant via email, SMS, Slack or the web app, and the responses generated.
• Usage data: how you interact with the platform, task history, feature usage, IP address, browser/device information, and website page activity.
• Third-party integration data: if you connect Gmail, LinkedIn, or other services, we access data from those services solely to deliver the features you request.

3. How We Use Your Information

• To operate and deliver the SnowBear AI assistant service.
• To send transactional SMS and email messages, including onboarding, login verification, and task updates.
• To improve our AI models and product features using aggregated, de-identified data.
• To communicate with you about your account and service updates.
• To comply with legal obligations.

We do not sell your personal information or use it for advertising.

4. Third-Party Service Providers

We share data with third-party providers solely to operate the service. Your conversation content and data may be processed by the following services:

• Supabase — database and authentication.
• PostHog — pseudonymous activity analytics and masked session recordings on our public signup pages. We do not send our conversation content, names, email addresses or phone numbers to PostHog.
• Google / Gemini — AI processing of your requests and conversation content.
• xAI / Grok — AI processing for news and research tasks.
• Anthropic — AI processing for certain assistant functions.
• AgentMail — email delivery and routing.
• LoopMessage — iMessage and SMS conversations with the SnowBear AI assistant.
• TeleSign — one-time verification codes by text, and phone number checks during sign-up.
• Twilio — SMS communication.
• Exa — web search for research tasks.
• Apify — web scraping for research tasks.
• People Data Labs — account and company enrichment from IP address or business profile data.
• Unipile — LinkedIn integration and messaging.

Each provider is bound by their own privacy and data processing agreements. We do not authorize these providers to use your data for their own purposes beyond delivering services to us.

6. Data Retention

Public-page session recordings are retained for one month. They help us understand navigation and signup friction; they do not record your signed-in dashboard, messaging apps or email inbox. Inputs and page text are masked. You can turn website analytics off at any time using Analytics preferences. We also respect Do Not Track and Global Privacy Control. Turning analytics off stops future collection; contact us below to request deletion of existing data.

We retain your personal data for as long as your account is active. If you request account deletion, your data will be removed from our systems within 30 days, except where retention is required by law.

Website visitor IP enrichment data is retained only as needed for account identification, fraud/abuse prevention, opt-out handling, and provider-call deduplication. We may keep a limited hashed suppression record after deletion to avoid immediately recollecting the same visitor or IP address.

Depending on your location, you may have the right to:

• Access the personal information we hold about you.
• Correct inaccurate or incomplete information.
• Request deletion of your personal information.
• Opt out of certain data processing activities.
